This website is operated by Rumi Hires. Throughout the site, the terms “we”, “us”, and “our” refer to Rumi Hires. Rumi Hires provides this website, including all information, tools, and services available from this site to you—the user—conditional upon your acceptance of all terms, conditions, policies, and notices stated here.
By visiting our site and/or making a hire booking, submitting an enquiry, or purchasing any service from us, you engage in our “Service” and agree to be bound by the following Terms & Conditions (“Terms”). These Terms apply to all users of the site, including without limitation users who are browsers, customers, vendors, wholesale/ trade clients, and/or contributors of content.
Please read these Terms carefully before accessing or using our website. By accessing or using any part of the site, you agree to be bound by these Terms. If you do not agree to all the terms and conditions of this agreement, you may not access the website or use any of our Services. If these Terms are considered an offer, acceptance is expressly limited to these Terms.
Event Hiring
Customer agreement
· Pay all charges promptly and in full.
· Maintain all equipment during the hire period and return it in the same condition as received. (Minimal wear and tear excepted)
· Use the equipment for its intended purpose.
· Provide as much detail relating to the event as possible (Location, access, bump in bump out timings etc.)
· Be responsible for any damage caused to the hired equipment.
· Pay the current retail value for any missing or irreparably damaged equipment
· Cover any costs incurred in recovering outstanding payments, including debt collection and legal fees.
· Return the equipment on the agreed date of return or collection.
Quotation, Hire and Sales
All quotations provided by Rumi Hires are valid for a period of twenty-one (21) days from the date of issue, unless stated otherwise in writing. By accepting a quotation within this period, the Customer agrees to be bound by these Terms and Conditions of Hire.
Quotations are based on the details provided at the time of enquiry, including the type and quantity of items, delivery requirements, and any additional services requested. Prices quoted are for a single hire period only. The Customer accepts responsibility for all charges related to hire loss, extended hire periods, damage and repairs, and agrees to cover any associated collection, legal or other expenses incurred in recovering these amounts.
Rumi Hires reserves the right to review and revise quotations if the hire requirements change, if additional items or services are requested, or if circumstances beyond our control affect the cost of providing the service. The Customer agrees to pay any additional charges arising from such changes.
Bookings, Deposits and Payment
A 50% deposit is required to secure all bookings. The Customer’s booking is not confirmed until this deposit has been received in full. Full payment or the remaining 50% of the booking is due fourteen (14) days prior to the event or collection.
The Customer is responsible for verifying that all details on the invoice are accurate, including but not limited to – the items being hired, hire period, delivery or pick-up location and timing, and any other special instructions.
Rumi Hires reserves the right to cancel a booking if full payment is not received 36 hours prior to the scheduled delivery or collection date.
Booking adjustments and cancellations
The Customer may request to change the booking date once. This change is subject to a date change fee of 20% of the total invoice value and is dependent on the availability of hire items for the new requested date. If the new date is unavailable, the full cancellation fee will apply. All requests to change the booking date must be made in writing and are only confirmed once Rumi Hires provides written approval.
Once a deposit has been paid, the Customer may reduce the booking by up to 20% of the hire items. The Customer may also increase the booking by any amount, subject to item availability. For any increases to the order, delivery and setup fees will be recalculated to reflect the additional items.
If the Customer cancels more than 14 days before the scheduled delivery, they will receive a refund of any payments made, except for the non-refundable booking deposit. Cancellations made within 14 days of the event will incur a full hire fee for the items, excluding delivery and labour costs, as Rumi Hires is unable to rehire them.
Hire Period, Extensions and returns
The hire period is typically between one to three (1-3) days from the time of delivery or collection, unless otherwise mutually agreed in writing and stated on the quote or invoice. If the equipment is not returned, or if our drivers are unable to access it for collection, a daily hire fee will apply for each day beyond the agreed hire period. Any additional charges may be invoiced or charged to the Customer’s credit card. Should the Customer fail to return the equipment, they authorise Rumi Hires to access the premises where the equipment is stored to recover the items.
The Customer is required to return all equipment by the agreed return date. The Customer must notify Rumi Hires in writing if an extension or early termination of the hire period is requested. Any extension is subject to Rumi Hires’ approval and availability of the equipment.
Delivery, Setup and collection
Rumi Hires cannot guarantee availability of all equipment for every order. We will make every effort to deliver equipment within the agreed timeframe, but cannot accept liability for delays or non-delivery due to unforeseen circumstances such as weather or other events beyond our control. Late delivery does not entitle the Customer to cancel the order or claim damages.
Delivery and collection fees are quoted at the time of booking based on item quantity, labour, and travel costs. Fees may be adjusted if the order changes or additional services are required. After-hours deliveries and pickups (weekends, and public holidays) may incur additional charges. Labour costs may also vary depending on site conditions, access, and other factors beyond our control. Is it in the best interest of the Customer to provide as much details of the location, its access and surroundings so that an accurate delivery quote can be provided.
The Customer must ensure safe access for our team and maintain a safe working environment. Any delays, restricted access, or safety issues may result in additional costs, including re-delivery or collection fees.
Equipment Use, Care and Security
All equipment must be used only for its intended purpose. The Customer is responsible for ensuring correct setup and safe use of all items when setting up without Rumi Hires’ assistance. This includes following any instructions provided, ensuring the equipment is stable and secure, and using the equipment in a safe and appropriate environment.
Equipment must be handled with care, and the Customer is responsible for ensuring that anyone using or handling the equipment is aware of these Terms and Conditions. All items are supplied clean and ready for use.
The Customer is responsible for notifying Rumi Hires of any loss or damage that occurs during the hire period. Rumi Hires reserves the right to pre-authorise or charge a credit card for any necessary cleaning, repairs, or replacements.
The Customer is responsible for the security and proper care of all equipment from the time it is delivered or collected until it is returned to or collected by Rumi Hires. If any equipment is stolen from the event site, the Customer must notify Rumi Hires in writing immediately, outlining the circumstances of the theft and confirming when the police were notified. Hiring charges will continue to apply until this written notification is received. The Customer must indemnify Rumi Hires for the full replacement cost of any stolen equipment and pay this amount on demand.
Loss or Damage to Equipment
The Customer must notify Rumi Hires immediately if any equipment is lost or damaged during the hire period. The Customer indemnifies Rumi Hires for all associated loss or damage. The Customer agrees to pay:
The current replacement value for any equipment that is lost.
The full cost of repairs for any damaged equipment.
Ongoing hire fees at the standard daily rate if a lost item is not reported, as it will be considered on extended hire until returned.
Payment for replacement or irreparably damaged equipment must be made within seven (7) days. If payment is not received within this timeframe, Rumi Hires may charge the amount to the credit card or account provided at the time of booking.
Liability and Insurance
The Company is not liable for any contingent, consequential, indirect, special, or punitive loss or damage arising from the hire or use of the Equipment. To the fullest extent permitted by law, all warranties—express or implied—are excluded. Where liability cannot legally be excluded, the Company’s responsibility is strictly limited to either the resupply or repair of the Equipment, at the Company’s discretion.
For the safety and reassurance of Customers and venue operators, Rumi Hires maintains Public Liability Insurance up to $20 million to operate and set up Equipment in both public and private venues. This insurance does not limit or remove the Customer’s responsibilities under these Terms and Conditions.
